Purchase Order Book

The Purchase order book gives an overview of all the purchase (order) lines. The user can extract the needed information by setting the correct filters, which makes this tool very flexible. It is e.g. very easy to get an overview of received non-invoiced lines (invoices to be received).

Setup

The Purchase Order Book requires no setup. The user can easily access it via the indicated path or the search function.

Execution

1. Choose the search icon, enter Purchase Order Book and then choose the related link.
2. When the user has accessed the Purchase Order Book, he will see a screen that resembles the following screen (in which not all columns are shown).

  • Of course, the order and visibility of the columns depend on the preferences of each individual user and can be changed per user via the Choose Columns function. Basically, the columns that are available are the columns that come from the purchase lines.
Note

that the Outstanding Quantity (Qty. to Receive) is different from zero for all lines. The reason for that is that the Purchase Order Book automatically puts a filter on the Outstanding Quantity (<>0).

3. Add the Filter Pane to the screen.Then the filters are visible.
4. Remove the filter on Outstanding Quantity.All purchase lines are shown now. Useful columns are, amongst others, Qty. to Receive, Qty. to Invoice, Quantity Invoiced, Qty. Rcd. Not Invoiced.

  • The Qty. Rcd. Not Invoiced column shows the user which lines have been received but haven’t been invoiced yet.

  • The Qty. to Receive column can be combined with the Expected Receipt Date column to monitor which purchase lines should have been received already.

  • The user can personalize this screen by adding filters or sorting in a way that suits him or her best.

5. By pressing the Purchase Order, Production order or Order Tracking button in the ribbon, the user can access the purchase order, production order or order tracking lines to which the line in the Purchase Order Book refers.

6. Some default filters can be activated by pressing buttons in the ribbon:

  • Too late: lines are shown for which the the promised receipt date or the expected receipt date is more than two days before the NAV working date
  • Needs Attention: lines to which reservation and/or tracking applies, are shown if the shipment date for the tracked entry is after the expected receipt date.Also, production order lines are shown for which the routing is expected to end before the receipt (expected receipt date) takes place.
  • Reset: the default filter is put in place again
