Check VAT Registration No. on Customer and Vendor Template

For EU companies it’s mandatory to have the VAT Reg. No filled in. This check is now available to activate on the Customer and Vendor Template.

The process flow is:

  1. Create a new Contact card of the type Company.
  2. Create a Customer or Vendor from this Contact using a Template.
  3. By creating the new Customer and/or Vendor based on the correct Template, NAV will check if the VAT Reg. No is filled in.

Setup

  1. Templates for creating a new Customer or Vendor : Default Business Central gives us the ability to set up the system to pre-populate the common fields when setting up a Customer or Vendor.

    • Choose the search icon, enter Customer Templates

    • Choose the search icon, enter Configuration Templates

  2. Enable Check VAT Registration No :On the Customer and Vendor Template for EU transactions you can enable the check to verify if there is a VAT number entered. When creating a new Customer/Vendor starting the Contact card, the system will check if the VAT Reg. Number is filled in. If the field is empty you cannot create a Customer/Vendor card form the Contact Card.

  3. Link the Templates to the Countries/Region Code: On the Countries/Region table, link the appropriate Template for creating a new Customer or Vendor. When creating a new Customer/Vendor for Country Code FR, NAV will suppose to use the linked template.

Execution

  1. Choose the search icon, enter Contact, open the contact card.
  2. Choose the New action, choose type Company.
  3. Fill in the Country Code, for example ‘FR’
  4. Don’t fill in the VAT Registration Number
  5. Choose Actions, Choose Functions, choose Create as Customer. The user only gets the questions Do you want to create a contact as a customer using customer template?
  6. Choose YES to proceed
  7. The process of creating a new Customer card is stopped because of this message : The VAT Registration No. is missing. If you have entered a VAT Registration No on the Contact card, you can create successfully a new Customer/Vendor
